- What is the date, time, formality, and duration of the event?
- What is the location; is it indoors or outdoors, what facilities are available (water, power, restrooms, etc...)
- What is the number of guests? Are there significant number of children? What are their ages? Does this guest count include band, photographer, etc? How far in advance does the caterer need a final count?
- Are the menus custom set? Does the caterer use products specific to the area and season? Is the produce local? Does the caterer account for special needs diets? Does your caterer make everything from scratch, or do they use pre-made or frozen ingredients? Are desserts made by the caterer or are they sub-contracted?
- Is the event being served as a sit down dinner or a buffet? If buffet, is it served or self serve? How many servers are needed for each type of event? What do they wear?
- Is there a deposit due? When is final payment due? Is there a gratuity? Are there taxes?
- What is included in the service costs? What are the charges for overage?
- What is the experience, background, and education of your caterer? Is your caterer licensed and insured? Do they work out of an inspected kitchen? Do they have proper health permits?
- Is your caterer licensed to serve alcohol? Can they provide a bartender? Do you want to server beer, wine and spirits, or some combination there of?
- Where and how would you like drinks to be served (bar, tableside, buffet style, etc.)?
- What are the rentals (chairs, tables, linens, glassware, china, tents, etc.) needed? Does the caterer provide these for you? If not, can they direct you to someone who can? Is there a delivery fee?
- Does your caterer use contracts? What are the terms/cancellations policy?
The success of your catered event depends on the client/caterer relationship. Being prepared with the proper questions for your caterer will enable your caterer to work efficiently to meet your needs.
